A Project Coordinator is required at Arts Council Malta commencing in January 2019, providing their service for an average of 20 hours a week

 

The service shall be remunerated at €9,600 for six months.

Service Required

A Project Coordinator is required to oversee, monitor and actively participate in the successful coordination and implementation of Malta’s participation at the 58th International Art Exhibition at La Biennale di Venezia in 2019.

The Venice Biennale is the largest and most prestigious visual art exhibition in the world. This will be the 58th edition of the Venice Biennale. The Malta Pavilion at the Art Biennale in 2019 is commissioned by Arts Council Malta and it is curated by Dr. Hesperia Iliadou Suppiej. The selected artists are Vince Briffa, Klitsa Antoniou, Trevor Borg and Perit Matthew Joseph Casha (architect/designer). The production management team is composed of Mr Stephen Ciantar and Mr George Lazoglou.

The title of the exhibition is Maleth/Haven/Port – Heterotopias of Evocation. Setting Malta, Maleth, at the centre of its theme, the project focuses on the role of the island as cultural centre of the Mediterranean Sea, both in history and in current times.

Main Tasks

The Service Provider will be:

  • Working closely with Arts Council Malta and the Curatorial team to finalise the scope and scale of the Malta Pavilion at the 58th international art exhibition at La Biennale di Venezia 2019;
  • Liaising with Arts Council Malta and the Malta Pavilion curatorial and artistic team to ensure excellent communication across the project so that all parties are fully informed of the project timeline and ensuring that all agreed milestones/deadlines are met;
  • Tracking, monitoring and chasing project milestones and deliverables of the project with respect to the established timeframes and indicators;
  • Providing regular updates about the progress being made to Arts Council Malta; 
  • Maintaining accurate and up-to-date budget, income and expenditure spreadsheets;
  • Liaising with Funders and Sponsors to ensure they are appropriately acknowledged within printed and online media, working within the Venice Biennale and Arts Council Malta's branding guidelines;
  • Carrying out written communication related to the project (e.g. ongoing reports, contacts with suppliers and stakeholders, website and social media information, minutes of meetings etc) and continuously put forth recommendations for fine-tuning the implementation process;
  • Assist the Communications Team as needed, including the upload and editing of information on the Malta Pavilion website and supporting public relations initiatives and exercises related to the project (ex. press launches, press releases, traditional communication channels, social media etc); 
  • Making hospitality arrangements for the opening events in Venice, in liaison with the international communications agency and Arts Council Malta, ensuring the effective delivery of any other scheduled events forming part of the project;
  • Performing procurement work, including gathering of quotations within the administration section as per Government Procurement Regulations;
  • Maintaining and conducting proper filing of documents related to the project;
  • Coordinate and provide logistics support as needed;
  • Supporting the end of project handover: creating an end of project report, collating and providing digital copies of all working documents;
  • Conducting any other activity related to the project as assigned by Arts Council Malta. 

The selected service provider will work under the supervision of Arts Council Malta. 

The selected service provider will be required to attend regular meetings at Arts Council Malta. S/he will have flexible office hours and will have the possibility to provide the service during unscheduled or at unusual hours during crisis situations and/or when the business so warrants.

Qualifications and Experience Required

  • Bidders must be in possession of a recognised degree in Cultural Management or Communications or a related subject

     OR

  • A minimum of one year experience in the management of cultural projects.

AND have

  • Proven knowledge of the visual arts sector in Malta and internationally.
  • Excellent project co-ordination skills to realise ambitious projects.
  • Exceptional communication skills and excellent writing and editing skills in English.
  • Strong organisational ability.
  • Experience of managing budgets and liaising with multiple stakeholder groups;

as proven in their bid.
