{"id":15721,"date":"2026-02-06T07:00:00","date_gmt":"2026-02-06T05:00:00","guid":{"rendered":"https:\/\/artscouncilmalta.gov.mt\/?post_type=opportunitie&#038;p=15721"},"modified":"2026-02-06T10:20:07","modified_gmt":"2026-02-06T08:20:07","slug":"call-for-service-2","status":"publish","type":"opportunitie","link":"https:\/\/artscouncilmalta.gov.mt\/en\/opportunitie\/call-for-service-2\/","title":{"rendered":"Call for Service"},"content":{"rendered":"\n<p><strong>Support Coordinator (Funding)<\/strong> at Arts Council Malta<\/p>\n\n\n\n<p><strong><u>Service Description<\/u><\/strong><\/p>\n\n\n\n<p>Working closely and under the supervision of the Director (Funding) and Head (Funding) at Arts Council Malta, the Support Coordinator (Funding) will work closely with the Council\u2019s Funding Team in the administration of ACM\u2019s Funding portfolio.<\/p>\n\n\n\n<p><strong><u>Main Duties and Responsibilities<\/u><\/strong><strong><u><\/u><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Provide coordination and administrative support to the Funding Unit, contributing to the effective day-to-day delivery of ACM\u2019s funding programmes and other assigned initiatives, projects, and activities;<\/li>\n\n\n\n<li>Coordinate end-to-end administrative workflows for assigned funding programmes, including programme administration, procurement of services, contracts, and payment processes, ensuring alignment with ACM policies and procedures;<\/li>\n\n\n\n<li>Monitor and coordinate funding programme and project timelines by tracking processes, documentation, deadlines, and submissions. Proactively identify risks to programme\/project delivery, follow up with internal and external stakeholders, and support timely resolution of outstanding documentation or process delays;<\/li>\n\n\n\n<li>Receive, acknowledge, process, and route emails, correspondence, and telephone enquiries related to Funding Unit activities in a professional, timely, and coordinated manner;<\/li>\n\n\n\n<li>Maintain accurate and up-to-date administrative records by uploading, scanning, saving, and archiving documentation in accordance with ACM\u2019s internal procedures, including records related to invoices, payments, contracts, procurement, and fund disbursement, across both physical and electronic filing systems;<\/li>\n\n\n\n<li>Assist in the preparation, coordination, and formatting of standard correspondence and documentation, including result notifications, acknowledgements, requests for information, and supporting materials for programme delivery;<\/li>\n\n\n\n<li>Update monitoring sheets, databases, checklists, and internal systems with accurate and timely information, exercising judgement to flag discrepancies, omissions, or issues to senior officers where required;<\/li>\n\n\n\n<li>Coordinate and compile administrative documentation related to procurement requests, claims, reporting, and remuneration sheets ensuring consistency, completeness, and readiness for review;<\/li>\n\n\n\n<li>Perform completeness and compliance checks on procurement documentation, payments, applications, reports, and claims to ensure required information is present and correctly prepared prior to assessment or approval by senior management;<\/li>\n\n\n\n<li>Liaise and coordinate with internal departments, applicants, assessors, and external stakeholders and service providers to gather information, schedule activities, and follow up on documentation, contributing to smooth programme and project delivery;<\/li>\n\n\n\n<li>Ensure the confidentiality, security, and proper handling of all administrative and project\/programme-related documentation in line with ACM policies and relevant legislation;<\/li>\n\n\n\n<li>Act as a first point of contact and coordination for funding-related and administrative queries, exercising judgement to resolve routine matters and referring complex technical, contractual, or financial issues to senior staff as appropriate;<\/li>\n\n\n\n<li>Assist in the preparation and coordination of administrative and programme-related reports, summaries, and briefings as requested;<\/li>\n\n\n\n<li>Carry out any other coordination and administrative duties related to the Funding Unit as may be reasonably assigned by the Head (Funding) or senior management from time to time.<\/li>\n<\/ul>\n\n\n\n<p><strong>Other Duties as Assigned<\/strong><\/p>\n\n\n\n<p>This job description is not necessarily an exhaustive list of duties but is intended to reflect a range of duties the Support Coordinator will perform. The job description may be reviewed regularly and may be changed in the light of experience and in consultation with the Support Coordinator.<\/p>\n\n\n\n<p>The selected service provider will be required to work 40 hours a week, based at Arts Council Malta. S\/he will have flexible working hours and will be able to provide services during unscheduled or at unusual times as required by the exigencies of the work.<\/p>\n\n\n\n<p><strong><u>Qualifications, Skills and Experience Required<\/u><\/strong><strong><u><\/u><\/strong><\/p>\n\n\n\n<p>By the time of application, the candidate must be in possession of the below qualifications and experience as a minimum:<\/p>\n\n\n\n<p>a Diploma qualification at MQF Level 5 (30 ECTS minimum), or an appropriate, recognised comparable qualification in Business Management, Business Administration, Management, Accounts, Finance or relevant areas, plus one (1) year relevant work experience.<\/p>\n\n\n\n<p><em>OR<\/em><\/p>\n\n\n\n<p>A post-secondary qualification at MQF Level 4 (60 ECTS minimum) or an appropriate, recognised comparable qualification in Business, Management, Accounts, Finance or relevant areas, plus three (3) years relevant work experience.<\/p>\n\n\n\n<p><em>Applicants holding foreign qualifications are required to produce a recognition statement by the Malta Qualifications Recognition Information Centre (MQRIC) within the Malta Further and Higher Education Authority (MFHEA), which is to be obtained by submitting an online application for the recognition of qualifications at https:\/\/services.mfhea.mt\/CertificationApplication.aspx. Such statement should be attached to the application and the original presented at the interview.<\/em><\/p>\n\n\n\n<p>AND must have the below-listed skill-set:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Fluent in Maltese and English<\/li>\n\n\n\n<li>General awareness of office procedures<\/li>\n\n\n\n<li>Strong organisational and administrative skills and attention to detail<\/li>\n\n\n\n<li>Excellent interpersonal skills and customer service skills<\/li>\n\n\n\n<li>Ability to work under pressure and multi-task, using a team approach to solve problems when appropriate<\/li>\n\n\n\n<li>A willingness to learn and expand his\/her knowledge<\/li>\n\n\n\n<li>Ability to work autonomously with little or no supervision<\/li>\n<\/ul>\n\n\n\n<p><strong><u>Contract and Salary information<\/u><\/strong><\/p>\n\n\n\n<p>The selected candidate will be awarded a three (3) year Contract for Service, with the possibility to renew for a further period, depending on his\/her performance.<\/p>\n\n\n\n<p>Answerable to the Director (Funding) and Head (Funding) at Arts Council Malta and operating with flexible hours to meet the demands and requirements of the position, the chosen candidate will be required to work within the rules and regulations of the Malta Public Service.<\/p>\n\n\n\n<p>The remuneration is of \u20ac29,000 (excluding VAT but including any other taxes or charges) per year for 40 hours per week.<\/p>\n\n\n\n<p>In addition, for the duration of the contract, the Service Provider shall receive an end of year Performance Bonus up to a maximum of 10% at the discretion of the Director (Funding).<\/p>\n\n\n\n<p>Payment will be processed monthly by Arts Council Malta on receipt of an invoice with a valid VAT number.<\/p>\n\n\n\n<p><strong><u>Eligibility<\/u><\/strong><\/p>\n\n\n\n<p>By the closing time and date of this call for applications, applicants must be:<\/p>\n\n\n\n<p>(a) citizens of Malta; or<\/p>\n\n\n\n<p>(b) citizens of other Member States of the European Union who are entitled to equal treatment to Maltese citizens in matters of employment by virtue of EU legislation and treaty provisions dealing with the free movement of workers; or<\/p>\n\n\n\n<p>(c) citizens of any other country who are entitled to equal treatment to Maltese citizens in matters related to employment by virtue of the application to that country of EU legislation and treaty provisions dealing with the free movement of workers; or<\/p>\n\n\n\n<p>(d) any other persons who are entitled to equal treatment to Maltese citizens in matters related to employment in terms of the law or the above-mentioned EU legislation and treaty provisions, on account of their family relationship with persons mentioned in paragraph (a), (b) or (c); or<\/p>\n\n\n\n<p>(e) third country nationals who have been granted long-term resident status in Malta under regulation 4 of the \u201cStatus of Long-Term Residents (Third Country Nationals) Regulations, 2006\u201d or who have been granted a residence permit under regulation 18(3) thereof, together with family members of such third country nationals who have been granted a residence permit under the \u201cFamily Reunification Regulations, 2007\u201d.<\/p>\n\n\n\n<p>(f) persons in possession of a residence document issued in terms of the Residence Status of United Kingdom Nationals and their Family Members in Malta in accordance with the Agreement on the Withdrawal of the United Kingdom and Northern Ireland from the European Union and the European Atomic Energy Community Regulations.<\/p>\n\n\n\n<p>The advice of the Department of Citizenship and Expatriate Affairs within the Identity Malta Agency should be sought as necessary in the interpretation of the above provisions.<\/p>\n\n\n\n<p>The appointment of candidates referred to at (b), (c), (d), (e) and (f) above would necessitate the issue of an employment licence in so far as this is required by the Immigration Act and subsidiary legislation.
